MS Windows Client Phone Book Configuration

A Fax2Send phone book is a set of records produced by an (SQL) query to an ODBC data source such as an Access database or a simple text file.

To configure a phone book do the following:

  1. Start the Fax2Send application and select Compose/New Message from the menu.
  2. In the Prepare Fax Message window click on the To button.
  3. The first time you do this an OK box will be displayed with the text "No Connection Information". Click on OK to continue.
  4. In the Contact List window click on the Configure button.
  5. In the Configure Phonebook window click on Browse.../Connect (next to the Database Name field) and select the data source.
  6. Click on the Browse.../Select button (next to the Table Name field) and select the table within the data source.
  7. Click on the Select Fields button. The Select Fields window should be displayed with the field names running from left to right. Under each field name the word NO should be displayed in red. If you click left on the field name a drop down menu should be displayed with the following options:
    • Show Field
    • Hide Field
    • Contact Name
    • Fax Number
    • Company Name
  8. Select one field for each of Contact Name, Fax Number, and Company Name. Fax Number is the only mandatory field.
  9. Select any other fields you wish to display in the phone book listing by clicking on Show Field.
  10. When your selection is complete click on the OK button in the Select Fields and Configure Phonebook windows.
  11. A full listing of the table should now be displayed in the Contact List window.
  12. Select an entry from the phone book by ticking the box to the left of the record and then clicking on Finish. The values from the record should be automatically pasted into the Prepare Fax Message window.

Note that the registry setting for the database are held in HKEY_CURRENT_USER\Software\Beacon\DBVIEW. Removal of this folder will reset the database connection.

Using a Text file as a Phone Book

A text file can be used as a phone book by following these steps:

  1. Create a new folder on the PC with a name such as "Fax Phone Book"
  2. In this folder create a text file with a name such as numbers.txt with a format such as:

    Name,Company,Fax Number
    John Smith,Smith Inc,"1234567890"
    Ed Worth,Big Inc,"0987654321"
    Bill Ranch,Small Fish Inc,"51716517816"
    

    Make sure that you put " characters around the fax number!

  3. From the ODBC Data Source Administrator in the Control Panel select the "File DSN" tab and click on Add.
  4. Select the "Microsoft Text Driver" and click on Next.
  5. Enter a name for the data source such as "Fax2Send Phone Book" and click on Next.
  6. Click on Finish. You should now find yourself in the "ODBC Text Setup" dialog.
  7. Untick "Use Current Directory" and click on "Select Directory".
  8. Browse for the folder you created to hold the text file.
  9. Click on OK. You should now see your new DSN in the File DSN listing.
  10. You can now configure the phone book in Fax2Send as above.
